Privacy policy

Draft for review. Effective date: [to be set at launch].

Bill Review Coach is operated by Bill Review Coach, LLC, a New Mexico limited liability company ("we"). We coach you on your medical bills. This page explains, in plain English, what we do with your information.

What we collect

  • Your email address, so you can log in.
  • The bill photos or PDFs you send us. These can include health and insurance details.
  • Your Explanation of Benefits (EOB) or Medicare Summary Notice, if you choose to add one with a bill.
  • Coverage information you choose to give us: your plan types, plan name and any secondary coverage. We never ask for your Medicare number, member ID or Social Security number, and we remove long number strings that look like ID numbers if they are typed in.
  • The game plans we make for you.
  • Payment details are handled by our payment processor (Stripe). We never see or store your card number.
  • Basic technical logs (like the time of a request) to keep the service running and safe.

How we protect it

  • Bill files and EOB files are encrypted when stored.
  • Data is sent over encrypted connections (HTTPS).
  • Only our automated system reads your bills. No person reviews them.

How long we keep it

We delete your original bill photos and PDFs, and any EOB you added, 90 days after your game plan is ready. Coverage information stays in your account until you change it or delete your data. Your game plans stay in your account until you delete them or your account.

Delete your data any time

Tap Delete my data on your My bills page. This permanently deletes your account, every bill and EOB you sent, your coverage information, and every game plan.

Automated processing

To review it, your bill (and your EOB and coverage information, if you gave them) is processed by automated tools, including service providers such as OpenAI, through their business APIs. No person reviews your bill. OpenAI does not use data sent through its API to train its models. We don't use your bills to train models either.

Questions you ask about a plan

If you or a family helper use Ask about this plan, we store each question and answer with that bill so you can see them later. To answer, your question and that bill's game plan are processed by the same automated tools and service providers (such as OpenAI). Questions and answers are deleted with the bill: they are removed when the bill original is deleted 90 days after the game plan is ready, or right away if you tap Delete my data.

What we never do

  • We never sell your data.
  • We don't use ad trackers or advertising cookies.
  • We don't share your data except with the service providers we need to run Bill Review Coach (hosting, email, payments, and automated processing such as OpenAI), or if the law requires it.

Cookies

We use one cookie to keep you logged in. It expires after 12 hours. If you arrive through a friend's referral link, we also store that referral code in a cookie for up to 60 days so we can credit you both. It is removed when you log in.

Referrals

If you join with a friend's link, we record who referred you so we can give each of you a free month once you join the paid plan with a card on file. Your friend can see how many people joined with their link, but not who you are or anything about your bills. The record is deleted if either of you deletes your data.

If something goes wrong

If there is a data breach that affects your information, we will tell you by email without unreasonable delay, and as the law requires.

Washington and California residents

Your bills are consumer health data under laws like Washington's My Health My Data Act and California privacy law. We collect and use them only with your consent and only to make your game plan. When you send us a bill, you agree to that use. You can withdraw consent at any time by deleting your data. You can ask what we have about you, or ask us to delete it, by emailing help@billreviewcoach.com.

Family helpers

You can invite a family member from the Family access page. You must tick a box agreeing to share before the invitation is sent. Once they accept, they can see your bills, bill photos, EOBs and game plans, see and edit your coverage information, and send bills for you. You can remove them at any time, and they can stop helping at any time. Bills a helper sends are stored in your account, count toward your free first bill or plan, and you can see them like your own.
